The Difference Between Daily and Weekly Planning

There’s a fundamental difference between daily and weekly planning. Weekly planning involves setting objectives for the week, while daily planning involves deciding what tasks need to be done that day.
One reason so few people plan their weeks is that they try to guess which tasks will need to be done. Most of the tasks they allocate will never get done. They either no longer need doing, or something else comes up that requires urgent attention.
Too much can change in a week, which renders many tasks unnecessary.
Setting objectives for the week gives you focus and allows for potential changes without losing sight of what you have decided is most important
For example, when planning your week, you might decide to work on two of your most pressing projects. As long as you have an up-to-date project note that tells you where you are and what needs to happen next, you don’t need to decide which tasks to do at that point.
Similarly, in your personal life, you can choose how many times you will exercise that week, but leave the decision about when to exercise to your daily planning.
At a daily planning level, you have far more information about your priorities. Things change, and they can change fast. Trying to anticipate what will or will not happen in the week is practically impossible. At a daily level, it is often obvious what needs to be done next.
This is why the Weekly Planning Matrix and the Daily Planning Sequence work hand in hand. They were inspired by surgeons, pilots, Formula One engineers, and elite Special Forces units. Take the British SAS Special Forces, for example. When given a mission, their commanders give them their objective(s) (weekly plan). The soldiers then go away and plan and prepare for the mission (daily planning).

Do you want to see significant improvements in your overall productivity? Focus on setting your objectives for the week: which projects will you work on? How many sales calls will you make? How often will you exercise?
Then, at the end of each day (or in the morning if you are an early bird), decide what you will do that day based on the number of appointments and commitments you have.
Following these principles consistently will give you more focus, which, in turn, will ensure you get more of the important things done!
